Assistant to the President + CEO
Global Situation Room®, Inc. (GSR) is looking to hire a high-level Executive Assistant to join our fast-growing team in Alexandria, VA. The position is hybrid, but candidates must be located in the D.C.-Maryland-Virginia area. What we are looking for in a candidate: you are super capable and confident. You need minimal guidance and transform it to achieve maximum output. You are also really good at connecting and cultivating relationships with people in the real world. Discretion comes naturally. Responsibilities:
Provide exceptional administrative support to senior leadership.
Engender a high degree of confidence and trust through external interaction.
Track major milestones of key relationships.
Proactively identify potential scheduling and logistical issues.
Manage complex international and domestic travel arrangements.
Draft correspondence, agendas, presentations, meeting notes and follow up.
Oversee contact management system.
Develop internal processes and systems to optimize operations.
Create internal documents and materials.
Prepare research ahead of meetings, travel, and calls.
Create GSR promotional materials and packages.
Provide office management - coordinate with vendors, contractors and other service providers and perform other tasks to ensure the office is running smoothly.
Arrange logistics for virtual and in-person meetings .
Assist with internal event planning, such as receptions and team outings.
Performs other related duties as assigned.
You’re perfect for this job if you have:
Strong attention to detail.
Excellent written and oral communication skills.
Reliable and responsive, with the ability to work quickly and efficiently both independently and as part of a team.
Ability to handle confidential information with discretion.
Adaptable, with the ability to remain calm and professional under pressure
Proficiency in Google suite application.
Experience with and proficiency with CRM software and database development and management.
Experience in digital communications, media, marketing, press, social media and website maintenance.
Prior experience in the public/ non-profit sectors or journalism a plus.
Bachelor’s degree or equivalent combination of education and experience.
